1. Introduction

At Jool Education, we believe every child deserves an exceptional education — and that their personal information deserves equally careful protection.

Jool Education LLP ("Jool", "we", "us" or "our") is committed to protecting the privacy of students, parents, guardians, website visitors and customers.

This Privacy Policy explains what personal information we collect, how and why we use it, who we may share it with, how long we keep it, and the rights available to you.

It applies to our website, online educational programmes, enquiries, assessments, consultations, digital learning services and related communications.

We process personal information in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, the Privacy and Electronic Communications Regulations (PECR), and relevant amendments introduced by the Data (Use and Access) Act 2025.

Our approach is straightforward: we collect information that helps us deliver and improve our educational services, protect it appropriately, and do not use children's academic work for unrelated marketing without appropriate permission.

2. Who We Are

Jool Education LLP is responsible for deciding how and why personal information is processed in connection with our services, except where another organisation acts as an independent controller.

Our details are:

3. Personal Information We Collect

  • Your name

  • Email address

  • Telephone number

  • Country or general location

  • Communication preferences

  • Details of your enquiry

  • Information about your child's educational requirements

  • Booking, payment and subscription information

3.2 Student Information

When parents or guardians request educational services, we may collect:

  • Student's name and school year or grade

  • School or curriculum information voluntarily provided

  • Academic interests, goals and areas requiring support

  • Placement test results and assessment responses

  • Written assignments, essays and homework

  • Teacher feedback and academic progress records

  • Lesson attendance and participation information

  • Relevant educational communications

  • Lesson recordings, where recording takes place

We aim to collect only the information reasonably necessary to assess a student's learning needs and deliver appropriate educational support.

3.3 Fit Check and Academic Assessments

When a parent completes our Jool Academic Fit Check, placement test or another assessment, we may collect:

  • Parent contact details

  • Student's school year and educational background

  • Answers about academic strengths, interests and challenges

  • Assessment responses and scores

  • The resulting learner profile or recommendations

  • Information about subsequent consultations or enquiries

We use this information to provide the requested result, understand the student's possible learning needs, and discuss suitable educational options.

Fit Check results provide an initial indication rather than a comprehensive academic diagnosis.

3.4 Writing Samples and Uploaded Documents

Parents and guardians may submit essays, homework or other examples of their child's writing for a Jool Writing Snapshot or academic review.

These documents may contain:

  • Student writing and academic work

  • Teacher annotations or school feedback

  • Student names or school-related details

  • Other personal information included in the document

We use submitted materials to assess the writing, provide feedback and inform any requested educational recommendation.

Please remove unnecessary personal information before uploading schoolwork, including addresses, student identification numbers, medical details and information about other children.

We do not require sensitive personal information to conduct an ordinary writing assessment.

3.5 Online Lessons and Learning Records

For enrolled students, we may process:

  • Lesson schedules and attendance

  • Workbooks and completed assignments

  • Student responses and discussion contributions

  • Teacher observations and feedback

  • Progress reviews and learning objectives

  • Communications about lessons

  • Recordings of online lessons, where applicable

These records help teachers plan lessons, provide continuity, monitor educational development and maintain teaching standards.

3.6 Purchases and Payments

When you purchase a course, membership, workbook or other service, we may collect:

  • Customer and billing details

  • Products or services purchased

  • Payment status

  • Transaction references

  • Subscription and renewal information

  • Refunds and relevant payment correspondence

Payments are processed through the payment provider used for the relevant transaction, which may include Stripe or a payment service integrated with Wix.

We do not need to store complete payment-card numbers or security codes in our ordinary customer records.

3.7 Website and Technical Information

When you visit our website, certain information may be collected automatically, including:

  • IP address

  • Browser and device information

  • Approximate location derived from technical information

  • Pages visited

  • Referral sources

  • Website interactions

Further information is provided in our separate Cookie Policy.

When relying on legitimate interests, we consider whether our use of the information is necessary, proportionate and consistent with the rights and interests of the individuals concerned, particularly children.

6. How We Protect Children's Information

Protecting students' personal information is a central part of our responsibilities.

Because many Jool students are under 18, we apply additional care when collecting, accessing, storing and sharing their information.

Our approach includes:

  • Collecting information relevant to educational purposes

  • Limiting access to teachers and staff who need the information

  • Using appropriate security measures

  • Avoiding unnecessary collection of sensitive information

  • Applying suitable safeguards to third-party educational services

  • Reviewing how long children's information needs to be retained

  • Taking account of the child's age, understanding and best interests

Parents or guardians should ordinarily submit enquiries, enrolment details and writing samples on behalf of younger children.

Children also have their own data protection rights. We consider their age and understanding when responding to requests concerning their information.

Sensitive Information

We do not routinely require information about a child's health, disabilities, religion, ethnicity or other specially protected characteristics for ordinary website enquiries or writing assessments.

Where additional information is genuinely necessary to support a student's learning or wellbeing, we will explain why it is needed and identify an appropriate lawful basis and, where required, an additional legal condition for processing it.

Please do not include unnecessary sensitive information in uploaded documents.

7. Academic Work, Feedback and Progress Records

When students provide essays, worksheets, homework or other academic material, Jool uses this information to support teaching and learning.

This may include:

  • Assessing current academic strengths

  • Identifying areas for development

  • Preparing written feedback

  • Planning subsequent lessons

  • Monitoring progress over time

  • Producing progress reviews for parents

  • Maintaining appropriate teaching quality standards

Student academic records may be accessed by relevant Jool teachers, academic managers and authorised administrative staff.

We do not publicly publish a child's identifiable academic work, individual assessment or personal learning record without appropriate additional permission.

We may use anonymised examples for internal curriculum development or teacher training where individuals cannot reasonably be identified.

8. Online Lessons, Recordings and Teaching Quality

Jool provides live online educational services.

During lessons, students may share their voice, video, written answers, questions and other academic information.

Some lessons may be recorded for appropriate educational or operational purposes, such as:

  • Reviewing teaching quality

  • Providing feedback to teachers

  • Supporting academic progress discussions

  • Investigating a teaching or service concern

  • Maintaining continuity of educational support

Where recording takes place, we will provide appropriate information about its purpose and use.

Access to identifiable recordings is restricted to authorised individuals with a legitimate need.

Lesson recordings are not made publicly available or used in advertisements without appropriate separate permission.

We also seek to respect children's views and interests when considering any proposed public use of their image, voice or work.

9. Consultations and Appointment Bookings

Jool offers academic consultations through online booking systems, which may include Google Calendar and Google Meet.

When you book a consultation, information such as your name, email address, appointment time and any responses to booking questions may be processed by Jool and the relevant booking provider.

We use this information to:

  • Arrange and confirm appointments

  • Provide meeting details

  • Prepare for your consultation

  • Discuss your child's learning needs

  • Follow up on agreed educational recommendations

Booking providers may have their own privacy policies and may process certain information as independent controllers.

10. Marketing Communications

We may communicate with parents about Jool courses, educational resources, events, programme updates and relevant services.

We distinguish between:

Service communications: Information necessary to respond to an enquiry, deliver a requested assessment, manage a booking or provide an existing service.

Marketing communications: Promotional messages about programmes, offers, events or other educational opportunities.

Where legally required, we will obtain appropriate consent before sending marketing communications.

Where the law permits another route, such as the limited existing-customer soft opt-in, we will follow its applicable conditions, including providing an opportunity to opt out.

Completing a Fit Check or submitting a writing sample does not automatically mean that you have agreed to receive unrelated promotional emails.

You can unsubscribe from marketing emails using the link provided or by contacting contact@sayhijool.com.

You have the right to object to direct marketing at any time. We will stop processing your personal information for that purpose when you object.

We do not sell student academic records or parent contact databases to advertisers.

11. Cookies, Analytics and Advertising

Our website uses cookies and similar technologies for functionality, security, preferences, analytics and, where enabled, advertising measurement.

Some technologies are necessary to operate the website. Others require consent or are subject to specific legal conditions.

Where advertising integrations are active, they may help us understand whether an advertisement led to a website visit or enquiry.

We do not intentionally upload identifiable children's schoolwork or academic assessments into advertising audiences.

For further information, please read our Cookie Policy and use the website's cookie-preference controls.

12. Automated Tools and Educational Technology

We may use digital systems to help administer enquiries, organise information and support our educational services.

For example, our Fit Check may use answers submitted by a parent to generate an initial learner profile or suggested next step.

These preliminary results are guidance, not a final determination of a student's abilities.

Jool teachers and academic staff remain responsible for personalised educational recommendations and placement decisions.

Where we use AI-assisted or other automated tools, we assess the information being processed, the providers involved and the safeguards required, particularly when children's information is concerned.

We do not use solely automated decision-making to make decisions about a child that produce legal or similarly significant effects without meeting applicable legal requirements.

13. Who We Share Information With

We may share relevant personal information with trusted individuals or organisations where reasonably necessary to operate our services.

These may include:

Jool Teachers and Staff

Authorised employees, teachers, contractors and academic managers who require information for teaching, feedback, administration or student support.

Website and Technology Providers

Other Parties Where Permitted by Law

We may disclose information in connection with legal proceedings, the protection of our rights, or a genuine business transfer, subject to applicable safeguards.

We do not share children's academic records with unrelated third parties for their own direct-marketing purposes.

Where a provider processes personal information on our behalf, we seek to put appropriate contractual and security arrangements in place.

14. International Data Transfers

Jool operates internationally and may use teachers, staff or technology providers located outside the United Kingdom.

This means that personal information may be accessed, stored or processed internationally, including in South Korea and countries where relevant technology providers or authorised staff operate.

Where UK data protection law restricts an international transfer, we use an appropriate legal mechanism.

Depending on the destination and recipient, this may include:

  • UK adequacy regulations recognising an appropriate level of data protection

  • Approved international data transfer agreements or contractual safeguards

  • Other transfer mechanisms permitted by applicable law

The United Kingdom has an adequacy arrangement for qualifying transfers to the Republic of Korea.

For transfers to other destinations, we assess the relevant requirements and safeguards.

You may contact us for further information about the international transfer arrangements relevant to your data and, where applicable, how to obtain information about the safeguards used.

We do not charge a routine fee for exercising data protection rights. A reasonable fee may be permitted in limited circumstances under the law.

18. Parents, Guardians and Children's Rights

Parents and guardians may contact Jool about information relating to their children.

However, personal information about a child belongs to the child for data protection purposes.

When responding to requests, we may need to consider:

  • The child's age and understanding

  • Whether the person making the request has appropriate authority

  • The child's best interests

  • Whether disclosure would adversely affect the child's rights or those of another person

  • Applicable legal obligations

We aim to handle these requests sensitively and in a way that respects both children and their families.

19. Privacy Complaints

If you are concerned about how Jool has collected, used, stored or shared personal information, please contact us.

Email: contact@sayhijool.com
Subject: Data Protection Complaint

We will acknowledge a data protection complaint within 30 days of receiving it.

We will take appropriate steps to investigate without undue delay, keep you informed as appropriate and explain the outcome.
